Having been using Claude AI to query and manage info in my Google drive plus dragging in documents and querying and working with those has made Claude an indispensable personal assistant. This has led me to thinking if I could create a productivity project, drag in all my projects and tasks and begin to work with them by using Claude as a PA. Claude can already create Reminders in Apples app. All I then need to do is talk to Claude about what needs to be done.
Does this sound feasible and realistic? Is anyone already doing this?
OK, having tried this that last few days makes this unfeasible for me. This is becuase you would need to have the Claude Max account to get sufficient tokens. If you are actively working with project files tasks and notes, you’ll reach your limits in a jiffy (which I did). You then cannot continue until your tokens reset, which is not good for productivity. It was an interesting exercise.
I have indeed recently switched to AI for manging tasks / To Do items - Claude and its competitors can handle semantic queries which make sense out of unstructured notes- I find it far more flexible and frictionless than Omnifocus.
But I don’t think a bunch of random documents in an AI folder is the ideal platform. I have been using Notion - which integrates the AI with various formats to save data (text, databases, links, etc) and has terrific AI automation/AI agent capability to organize it all.
Don’t tell me that. Now I’ll be tempted to check out the new (to me) shiny Notion when I’m getting along perfectly fine with Apple’s default apps.
ive just discovered Claude MCP to manage my Asana account and so far its brilliantly crafting tasks and doing all the related housekeeping including assigning to the right people etc.
color me impressed. the only missing piece is that it can’t add any attachments to the task; something we do frequently but not a dealbreaker for now.
ChatGPT can’t do this with Asana yet. It can only read.
anyone doing similar stuff? the potential is amazing. i can imagine this reducation in admin labor is one FTE at the very least for me alone and maybe more as it gets more proficient (since a lot of the stuff i do is delegate work to others and i always want to ensure i provide a detailed assignment to head off any delays/questions).
I’ll have to check that out. I’m not sure what practical value it holds—it is easy enough to invoke Siri or click the Reminders icon to create a reminder, but I’m curious about this new technology with Anthropic.
The benefit would be that you could ask Claude to create a series or number of reminders all at once. ie. I need to create reminders to prepare for a biweekly meeting that ocurs on this friday…

I started by taking some random Drafts notes representing a To Do list for both personal and work items. These were unstructured text with comments like “Jones Report - Due Monday”, “Update Database - Urgent”, “Fix Stairs Next Week”, “Set Up new case - important this weekend.” I simply told Notion AI “Create a database to organize all of these taks” - and surprisingly it did a great job organizing by due date, priority, type of task etc.
Then I added web-clipping and email-to-Notion apps and started using it both as a web clipper for interesting things I read (sometimes with a comment about importance) and a way to quickly forward an email into my database. Again it did a great job of organizing.
By that time I had both personal and work tasks in the same database - a quick request to “Create work and personal views” was pretty accurate.
Then I started playing with AI agents to create auseful and easy to read formats for results of web searches for professional and personal content. Not only can it do the web searches well but again it can organize/categorize the information fairly easily.
I have some PDF documents stored in Google Drive on various topics. I setup an integration between Notion and GDrive and now I can query those documents from Notion and have Notion format the response as summary documetns or as a database.
There are additional integrations I am currently exploring as well with Monday.com, n8n workflows, and Claude AI.
I am just getting started - but bottom line Notion is infinitely customizable and has capabilities combining the web clipping ability of Evernote, the organizational ability of Omnifocus, and the search capabilities of semantic AI. It may take a bit of imagination to discover what it can do but the new Notion agents greatly reduce the learning curve to get up and running. In the process it can replace To Do list, personal database, Read-It-Later app, reminders, and probably a lot more I have not realized yet.
I am on the Enterprise plan because it is officially HIPAA compliant - that is very desirable for my work use.
I have not hit any Ai ceilings. I admit i am not sure how it is possible for them to offer access to higher priced models such as Claude 4.5 without some meter on the amount of usage.
